Streaming or fully virtual have been great options, to keep teams connected when in-person is not an option.  While the ability to connect while reducing travel increases flexibility, there are several important things to keep in mind to make your virtual or live streaming event a success.

Flexible Schedule

While an in-person event schedule can take up an entire day and into the evening, it is harder for a virtual attendee to participate for a full day schedule.  Since many remote attendees are at home or in the office, it is important to provide more frequent and longer breaks for attendees to manage other work and, or personal matters.   This may mean a reduced amount of information presented during a session and takes more planning to determine the most important information to share.

Energy Levels

At an in-person event, energizing music and lights are used to get attendees ready and excited as they are entering a session.  This can be used for virtual events as well.  Upbeat music, engaging activities such as trivia questions, audience polls and quizzes can help attendees get excited before the event begins.

Attendee Interaction

Smaller breakout sessions, award ceremonies, and town hall sessions are all ways to allow interaction with remote attendees.  Sending pre-event packages of materials, swag and methods for submitting pre-event questions get the engagement going before the event and allows attendees to get excited during the event when questions are answered and materials are reviewed.

Bandwidth

The attendee experience depends strongly on how well they are receiving the feed.  For streaming of live presentations, it is crucial to have a hard-wired internet connection to send the feed.  Wifi connections may not provide the stable and consistent connection needed for a live stream.

Rates for hard-wired internet connections can vary widely among venues and it is important to clarify your needs and to determine the costs before selecting a venue.
